The question comes up on every project: “how far in advance should I book my tent?” The honest answer: earlier than you think, especially for the peak season. The best structures and the most sought-after weekend dates go quickly.

Booking early is not only about securing a date: it means having a choice of structure, the time to arrange a site survey, and the peace of mind to organise your other providers (caterer, decor, sound) around a solid foundation.

This guide gives the realistic lead times by event type and a full countdown plan, from 12 months out to the day itself, so that nothing is left to chance.

Lead times by event type

Not every event has the same booking urgency. A few benchmarks:

  • Wedding in peak season (May-September): 6 to 12 months ahead — this is the most stretched case.
  • Large corporate event / convention: 4 to 8 months, more for very large capacities.
  • Private reception out of season: 2 to 4 months.
  • Small event / simple format: a few weeks may be enough, subject to availability.
  • Prestige structure (sailcloth, crystal, orangery): book early, the fleet is limited.

Why peak season changes everything

From May to September, and particularly the Saturdays of June and September, demand soars. Weddings cluster on these weekends, and the fleet of structures — especially the high-end models — is limited.

In concrete terms, a fine silhouette tent for a Saturday in June can be booked more than a year ahead. Waiting means risking having to fall back on a default structure, or shifting your date.

Out of season, the pressure eases: lead times shorten and negotiation is more flexible.

The full countdown plan

Beyond the booking itself, here is the ideal timeline for a project under tent:

  • 12 to 6 months out: set the capacity, the venue and the budget; request quotes; book the structure.
  • 6 to 3 months out: site survey; choice of options (flooring, heating, lighting); coordination with the caterer and other providers.
  • 3 to 1 months out: sign off the layout plan; confirm access and electricity; any formalities with the town hall.
  • 1 month to 15 days out: weather and logistics review; final adjustments; confirmation of the setup slot.
  • Day before: setup of the structure, the flooring and the technical lighting.
  • The day itself, then the day after: the event, then takedown and collection of the equipment.
